Types of IT Clowns:

9 IT Red Flags Costing You Money

From the One-Man Band to the Copy-Paste AI Clown. These are the recurring IT anti-patterns quietly costing businesses time, money, and data.

Every small business has met at least one. The IT person who disappears when things break. The “cloud guy” who never explains what anything actually costs. The server nobody’s game to touch in case it never comes back.

We call them IT Clowns, the  red flags that quietly turn an IT department into a liability instead of an asset. None of them are cartoonishly evil. Most mean well. But left unmanaged, every one of them costs small businesses real time, real money, and sometimes real data.

Here’s the current lineup, what each one costs you, and how to tell if one’s already on your payroll.

What Happens If You Ignore an IT Clown?

The cost of ignoring these patterns has gone up. Ransomware groups actively target small businesses precisely because they’re less likely to have tested backups or 24/7 monitoring. Legacy operating systems are being retired by vendors faster than businesses replace them, leaving unpatched systems exposed by default.

And the rapid, mostly ungoverned adoption of AI tools has opened a new category of risk that didn’t exist a few years ago, sensitive data leaving the business with a copy and paste, not a breach.

None of this requires a bigger IT budget to fix. It requires knowing which pattern you’re dealing with.

The 9 Types of IT Clowns to Watch For

Nine recurring patterns, ranked by how often we see them and  not by how funny they are.

one man band IT engineer

1. The One-Man Band

A long-serving but uncooperative operator who keeps everything in his head  with no documentation, no handover notes, no succession plan. The day he’s sick, on leave, or simply moves on, so is your business, and you’re left waiting days for even a basic support request to be actioned.

What this costs you

If he’s away sick, on leave, or leaves the business, you could be locked out of your own systems for days. No admin access, no documentation, and no one else who knows how anything is set up. That’s lost trading time, frustrated staff, and support calls that go nowhere until he’s back.

The jack of all trades IT clown

2. The Jack of All Trades

Reliable for routine support and everyday fixes, but out of his depth the moment a question strays outside the basics. Rarely says “I don’t know” but more often says “that can’t be done,” which quietly stalls projects and leaves the business missing out on tools its competitors already use.

What this costs you

Every project that needs more than routine support gets stuck, delayed, or quietly dropped. You end up paying for workarounds instead of real fixes, and missing out on tools your competitors are already using to save time and win business.

The DIY White-Box Builder IT Clown

3. The DIY White-Box Builder

Still hand-sourcing parts and building machines from scratch to shave a little off the sticker price, one warranty claim away from “don’t worry, I’ll build another.” When something fails, there’s no manufacturer to call.

What this costs you

When one of these machines fails, there’s no manufacturer warranty to fall back on but  just a rebuild, at your cost, on your time. Multiply that across every custom-built PC in the business, and you’re effectively paying for support that doesn’t actually exist.

The SAAS & Cloud Sprawl Clown

4. The SaaS & Cloud Sprawl Clown

The modern update to the old “cloud vs. on-prem” debate. This clown signs the business up for a new SaaS tool for every problem, with no register of what’s running, who owns it, or what it costs. Data ends up scattered across a dozen platforms with no clear governance over where it actually lives.

What this costs you

Subscriptions nobody remembers signing up for keep renewing on the company card, and when a staff member leaves, their access and data often leave with them. Left unmanaged, this is wasted spend today and a compliance headache waiting to happen.

The should've Retired Already IT Clown

5. The “Should’ve Retired Already” Setup

Ageing servers and operating systems running well past their supported end-of-life, needing a reboot every second day and picking up malware every couple of weeks  but “apart from that it’s been rock solid.” With Windows 10 support already retired and more legacy platforms following, this clown is more exposed every month it’s left running.

What this costs you

Every reboot and every malware scare is downtime you’re paying staff to sit through. When it finally fails for good, you’re not just buying a new server  but you may be looking at a full data recovery bill and days of lost trading on top.

The IT Just Takes Care of Itself Clown

6. The “IT Just Takes Care of Itself” Clown

The belief that buying the right apps and services means the job is done. Nobody checks that patching, backups, security, and staff training are actually happening  until a hacker encrypts the data and the backups too, because nobody ever tested them.

What this costs you

Untested backups feel free right up until you need them. The real cost shows up the day of a ransomware attack, when the backups that were supposed to save you turn out not to work either and the rebuild starts from zero.

The Accidental IT Manager

7. The Accidental IT Manager

Someone with a full-time job elsewhere in the business who’s been handed IT “as well,” usually because they’re the most technical person in the room. They enforce arbitrary rules like lengthy passwords and discontinued app support without the time, training, or mandate to actually run IT properly.

What this costs you

Decisions get made based on who’s available, not who’s qualified, and the person carrying it is stretched across two jobs, doing neither one properly. You end up paying twice: once for the role they were hired for, and again for the IT mistakes made on the side.

The Hype-Chasing IT Engineer

8. The Hype-Chasing Clown

This IT clown is always chasing the next big thing like a tool or platform spotted on LinkedIn or YouTube, which becomes the top priority overnight, with no real research behind it. The problem is nothing ever gets finished: by the time a proper quote comes back, the priority has already moved on to something newer.

What this costs you

Budget gets spent chasing whatever’s trending instead of fixing what’s actually broken. Half-finished projects and unused subscriptions quietly add up, while security, backups, and documentation stay untouched.

The AI Copy Paste IT clown

9. The Copy-Paste AI Clown

The newest and fastest-growing member of the lineup. Staff pasting client details, financials, or proprietary information into public AI chatbots to save time, with no policy, no training, and no idea where that data goes next.

What this costs you

Once client or financial data is pasted into a public AI tool, you have no way to get it back or control where it goes. That’s a privacy and compliance risk that can end up costing far more than the time it saved. If done properly, AI automation can deliver the same efficiency gains without putting your data at risk.

How to Tell If Your Business Has an IT Clown Problem?

A few quick questions worth asking this week:

1. Does more than one person know all your admin passwords and where they’re stored?

2. Has anyone actually tested a full data restore from your backups in the last 12 months?

3. Could you list every SaaS subscription currently active in your business?

4. Is any system still running an operating system past its vendor support date?

5. Do staff have clear guidance on what can and can’t be entered into AI tools?

If you hesitated on more than one, there’s a clown on the payroll somewhere.
